Subject: Day 1 - synopsis of Instuctor meeting To: Aus EV Updates
Dear Team,
We have just finished five days of meetings and will post a synopsis of each meeting over the next five days.
- Day 1. Aus instructors
- Day 2. National team
- Day 3. National team + Jennifer M. from EV office
- Day 4. Amaroo
- Day 5. EV office
Today we post a synopsis of the instructor meeting.
Day One-Instructor meeting Meeting of Australian based instructors Lee M., Catherine G., Chris Walker, Derek Harper
1. Recent input that guides us
- Synchronisation - if it's not synchronised it won't last.
- Propagation in Australia needs to get on a solid foundation
- Don't under estimate the power of enjoyment.
- Instructors have been OK in the west but need to move away from "the wandering saint" towards a quality control monitor
2. Instructor activities
The instructor priority has shifted to be more a "quality control monitor", to ensure that all the activities of EV are conducted at the highest standard.
Whilst we are moving away from the "wandering saint" version we are still engaged with aspirants, people who have recently received K, local teams, aspirant meetings, practice sessions, participation and propagation meetings, video events, individual counselling and promotion of KITS and follow-ups; as well as promoting M's events and providing feedback to M and others. Internationally the instructor team is planning to turn over many aspects of the aspirant process to local aspirant teams.
We will be discussing this with Aus aspirants teams in the near future.
3. Overlap with National Team
Many instructors are taking additional roles outside the general instructor area.
Several are Regional Propagation Contacts, Carol O'Connel is now the General Manager of Visions, Belkis and CharanAnand with Knowledge Sessions, Yoram is involved in the Resource Area, David Smith with tours etc.
Lee (NPC) and Derek (joint NMC) felt that at this stage of EV Australia's development they could contribute more by applying for positions in the national team rather than confine themselves to the traditional instructor role.
Lack of finance for travel, the need to earn an income and the strong and evolving local team structure suggested that their time could be better spent addressing some of the other challenges in Australia.
Lee and Derek see their involvement in the national team as temporary measure to help establish a sound and transparent team.
4. Individual roles
Chris easily able to travel Australia wide
Lee NPC based in SEQANN
Catherine RPC based in Perth
Derek Materials contact and Amaroo contact based in SEQANN
5. Other issues
We also discussed our personal performance, cleared the air, the state of communities, M's input, future tours, Amaroo.

Day Two - National Team meeting
Lee M.
Deb P.
Jeanne McN.
Derek Harper
Catherine G.
Chris Walker (joined us for the afternoon sessions)
The majority of our time was spent getting to know each other, working out team agreements and understanding the current situation.
Catherine G. as South Pacific Regional Propagation Contact is also included in the ANT.
1. Team personnel
As Regional Propagation Contact for the South Pacific
Catherine is involved with the Fijian, NZ and Tahiti teams
The positions of Finance, Resource and Event managers have been advertised and applications have been received.
2. Input that guides us
At the recent resource meeting in Arizona M said to "get propagation in Australia on a solid foundation".
We think this an appropriate mission statement for this team.
It is our intention to facilitate propagation by ensuring people who are interested have access to relevant and helpful information, have the opportunity to hear Maharaji's message and can continue to explore the subject of Knowledge in a clear, unimpeded and supportive environment.
3. Priorities
- Create a transparent, accountable and respectful organisation
- Support, facilitate and encourage teams and individuals
- Provide a clear picture of EV finances and responsible budgets
- Clarify the role of the EV board and its selection process for appointing members
- Create and maintain a close working relationship with the Amaroo team
- Increase the quantity, quality and variety of materials
4. Other
We spent quite a bit of time working out team agreements, best ways to communicate and conducting a SWOT analysis (strengths, weaknesses, opportunities and threats)'of the current status of teams and propagation in Australia.
Tomorrow we will post our meeting with Jennifer M. regards Aus national team

Chris Walker (joined us for some sessions)
Jennifer M.
Jennifer joined us from the EV office in Brisbane to help us understand what goes on there. Jennifer undertakes a wide variety of activities including the importing of videos and sales products from Visions, the dubbing and distribution of the audio and video tapes and liasing with local and resource contacts regarding Prop Fund contributions, etc.
Jennifer also shed some light on the finances of EV and as a result of her input we decided that we should go up to the EV office and spend a day there.
We also decided to include Jennifer in many of our future discussions since she plays a pivotal role in EV Australia.
Discussions
We discussed the practicalities of the EV office, financial concerns, staffing, the EV board and input from others.
Priorities
We spent a lot of time discussing our fundamental priority, propagation.
Aspects we touched on included - how to improve communication throughout EV.
The greater use of EV updates is one part of this.
Another is a series of open conference calls to be held with the National Team, Aus Instructors and all PwK interested in moving propagation in their respective centres forward.
These will begin with the cities mentioned by M recently - Brisbane, Sydney, Melbourne and Perth.
The main purpose is to help ensure that people everywhere are included, involved and able to take responsibility.
And to synchronize efforts towards events with M in 2002 in various locations
We are committed to ongoing work with all teams - ensuring strong liaison and consultation where it's needed.
Materials were another major topic.
Focusing first on increasing the access to M's message through home delivery of satellite broadcast in a variety of formats - audio, video, DVD, etc
Web radio is also coming, we are already experimenting.
Discover for Yourself - an adaption of the postal system used in the UK, packs cover introduction, finding out more, addressing common questions, preparing for Knowledge, asking for K and enjoying K.
Support Services include reviewing and cleaning up FC.
Facilitating support for the EV office, including appointment of new bookkeeper + admin assistant, reviewing databases.
Support Legal, Public Relations and Human Resources teams.
Tomorrow we'll report on the meeting with the Amaroo team.
regards National team.

Day Four - Amaroo
- Lee M.
- Deb P.
- Jeanne McN.
- Derek Harper
- Catherine G.
- Jennifer M.
and from Amaroo:
- Cath Carol
- Jeffrey J.
- Kaye F.
- Bill S.
The Amaroo team gave a presentation addressing the three major issues facing Amaroo today:
- How to ensure inclusiveness and transparency
- How Amaroo is adjusting to a tighter financial environment
- Looking at ways of hosting cheaper events to enable a sustainable future
Some of the strategies addressing these issues include implementing a major restructure both of staff and operational procedures at Amaroo; putting all construction on hold; developing and implementing cost control measures; reworking all event budgets.
Regarding transparency and inclusiveness, members from the Amaroo team and ANT committed to have weekly conference calls and a member of the ANT will attend weekly Amaroo convention team meetings.
Globally, Amaroo is working on setting up an international team who can be the link between the grass root communities and Amaroo.
It was acknowledged that communication regarding Amaroo 2001 was sorely lacking and every possible effort is being made to address this problem.
Detailed financial information on Amaroo 2001 was presented. For the first time ever, the event costs were covered and some of the construction costs of the Pavilion, the Amphitheatre backstage and Daya's, were covered by the Registration and Accommodation fees. Amaroo 2001 was a benchmark event in that the facilities for hosting International events are now in place resulting in minimal hiring expenses in the future.
The meeting provided a first great step towards EV and Amaroo working together side by side to achieve the one goal.
Tomorrow we will report on the meeting at the EV office
